Zoom Meeting Security

We strongly recommend you take the following actions to reduce the risk of a disruption to your Zoom meeting from uninvited guests.

If you would like to make your meeting private you should enable these security settings:

To secure your Zoom meetings and protect them from uninvited or disruptive guests you can follow these steps:

  • Use Meeting Passwords: Always set a password for your meetings. This means only those with the password can join. Read more ->
  • Enable the Waiting Room Feature: This allows you to control who enters the meeting. You can admit participants individually or as a group. Read more ->
  • Limit Screen Sharing: Set screen sharing to 'Host Only' unless it's necessary for participants to share their screens. If you would like to allow selected participants or guest lecturers to share their screen you can make them a co-host during the meeting. This prevents unauthorized sharing. Read more ->
  • Disable Join Before Host: This setting ensures that participants can't join the meeting before you, the host, have arrived. Read more ->
  • Restrict File Transfer in Chat: If not needed, disable the file transfer option to prevent the sharing of potentially malicious files. Read more ->
  • Lock the Meeting: If disruptive people are rejoining your meeting, in addition to having a waiting room, you can also lock the meeting under the security settings to prevent anyone new from joining. Read more ->
  • Remove Disruptive Participants: Be prepared to remove any participant causing disruptions. You can do this through the participants' menu, hover your mouse over the name of the participant you want to remove, and click on the "Remove" button that appears.
  • Disable Private Chat: If not necessary, disable the private chat feature to prevent unwanted communication between participants. Read more ->
  • Use Unique Meeting IDs: Avoid using your Personal Meeting ID for public meetings. Instead, use a unique ID for each meeting.
  • Dedicated resource for managing participants: For larger meetings, especially those with external speakers or guests like webinars or seminars, we highly recommend having separate people responsible for hosting and managing the meeting. The person managing the meeting should be familiar with the security settings, especially the Suspend Participants' Activities button, and managing/muting participants.

If your meeting is disrupted or your suspect participants may become disruptive you can immediately Suspend Participants' Activities under the Security menu. This turns off all participants' video, audio, Zoom Apps, profile pictures (which can be changed to contain undesirable images), and the ability to share their screen. It will also lock the meeting to prevent participants from joining. This will apply to all participants.
